This Privacy Policy describes how KGF Group ("we", "us") collects, uses, and protects information within the KGF Sales Portal application ("the App"). The App is an internal business tool used by our field sales team to record customer visits and manage sales activity, and is intended solely for use by authorized KGF Group employees.

Information We Collect

The App collects the following information as part of its normal operation:

Account information: username, name, phone number, and assigned state/role, provided by the company administrator.
Location data: GPS coordinates are captured at the moment a sales entry or an attendance Mark In/Out is recorded, so that field visits and attendance can be verified. Location is only captured during these specific actions, not continuously in the background.
Photos: Photos of customers, identification documents, or products that a sales team member chooses to upload as part of an entry.
Customer information: Names, phone numbers, and addresses of prospective customers, entered by sales team members in the course of business.

How We Use This Information

To maintain accurate records of sales activity, customer leads, and franchise/product enquiries.
To verify field attendance and visit locations for operational and payroll purposes.
To generate reports for management on sales team performance.

Data Storage and Security

All data is stored on a private, access-controlled server operated by KGF Group. Access to the App requires a valid company-issued username and password. Data is not sold, rented, or shared with third parties for advertising or marketing purposes.

Data Retention

Data is retained for as long as necessary for business record-keeping. Company administrators may delete records or user accounts as needed.

Third-Party Services

The App uses OpenStreetMap's Nominatim service to convert GPS coordinates into a readable location name, and Google Maps for turn-by-turn navigation links. No customer or location data is shared with these services beyond what is necessary to perform this lookup.

Your Rights

Employees using this App may contact their administrator to review, correct, or request deletion of their personal account information.
